Appointment Checkout

Appointment Checkout turns scheduled services into a sale and invoice. It can also create a standalone walk-in sale without an Appointment.

Open an appointment and select Checkout, or use Add → New sale from the appointment calendar.

Checkout has three steps:

  1. Cart for services, products, memberships, quantities, tax, and discounts.
  2. Tip for no tip, a preset percentage, a custom amount, and staff allocation.
  3. Payment for one or more payment methods.

The summary remains visible while you move through the flow. Completed earlier steps can be reopened before payment.

Appointment services are added to the cart automatically. You can also add:

  • More services
  • Catalog products
  • A membership plan to sell to the selected client

Each cart line can have quantity, unit price, tax, discount, and assigned team member. A cart-level percentage or fixed discount can be applied from Quick actions.

Workstation calculates subtotal, discounts, tax, tip, and the final total in the sale currency.

Appointment checkout uses the appointment’s client. A standalone New sale can remain a walk-in or select a Contact from the checkout panel.

A Contact is required when selling a membership, redeeming membership sessions, or using client loyalty benefits.

Membership plans are configured under Settings → Appointments → Memberships. A plan can represent recurring membership access or prepaid service sessions.

At checkout you can:

  • Sell an eligible membership plan to the selected client
  • Apply an available membership session to a matching service
  • Automatically apply an eligible session, then remove it manually if needed

Applying a session covers the service and consumes the session only when checkout completes successfully.

The Memberships settings page includes plan management, memberships sold, active-member count, monthly recurring revenue, and sessions redeemed. Client membership details can be viewed from the appointment panel and Contact record.

When Client Loyalty is enabled, checkout can apply:

  • The client’s standing tier discount to eligible lines
  • A selected reward by redeeming points

Workstation prevents unsupported discount combinations and revalidates the balance during checkout. Manual line discounts, cart discounts, membership coverage, tier discounts, and rewards do not stack blindly.

Choose a percentage or custom tip amount. Workstation assigns the tip to the professional who performed the service.

For appointments with services performed by several team members, the default split is proportional to service value. Open the split editor to assign different amounts. The split must add up to the total tip.

Available payment methods are:

  • Cash
  • Credit Card
  • Bank Transfer
  • Check
  • Online
  • Other

Add more than one payment line for split payment. Cash payments can record the amount received and calculate change.

When permitted, a sale can also be saved unpaid. An existing sale with an outstanding balance can accept another payment from the appointment panel.

Successful checkout:

  • Creates an Invoice and invoice line items
  • Records payments and the remaining amount due
  • Links the sale to the Appointment and Contact
  • Applies membership purchases or redemptions
  • Applies loyalty earning or redemption
  • Records tip allocation
  • Marks the appointment complete where applicable
  • Triggers the appointment_checked_out automation event

The success screen can open the Contact or continue back to the calendar.

After checkout, select View sale from the Appointment. The sale panel shows:

  • Invoice number, date, and status
  • Products and services
  • Subtotal, tax, discounts, tip, total, paid amount, and balance
  • Payment history
  • Sale activity and audit history

Use Pay now when the sale still has an outstanding balance.
