Accounting Reports
Accounting reports are built from posted journal entries, so they always agree with each other: the trial balance totals the general ledger, and the balance sheet and profit & loss are summaries of the same balances. Drafts never appear in reports.
Each report has its own page under the Reports group of the Accounting sidebar. You need the accounting.reports_view permission (or accounting.view). Reports run on the company selected in the header, except the consolidated reports, which have their own company picker.
These are separate from the CRM Reports module, which does not include accounting data.
Common controls
Section titled “Common controls”- Dates. Period reports have From and To dates; the balance sheet and aging reports have one As of date. From defaults to 1 January of the current year and To to today.
- Fiscal year shortcuts. Trial balance, Profit & loss, Cash flow, and Balance sheet have From fiscal year / To fiscal year pickers that fill the dates from your fiscal years.
- Report currency. Every single-company report can be shown in another active currency. See Presentation currency.
- Drill-down. Click an account on the trial balance, profit & loss, balance sheet, cash flow, or VAT return to open its general ledger for the period in a full-screen view.
- Export and print. The General ledger and Stock ledger export to CSV. The Customer statement and the consolidated reports have Print.
- Errors. If a report cannot be built, for example because an exchange rate is missing, it shows the reason and a Retry button.
General ledger
Section titled “General ledger”The general ledger lists every posting for the period: an Opening row, each voucher’s lines, then Total and Closing (Opening + Total).
Filter by account, party type and party, Voucher No (exact match), dates, and currency. Filters are kept in the page address, so you can bookmark or share a filtered view.
- Group by Voucher (Consolidated) (the default) shows one row per account per voucher, so each document reads as a unit. Do not group shows every line.
- Click a voucher number to open its journal entry, or the Source to open the invoice, bill, payment, or expense behind it.
- View ledger on any posted document opens the general ledger filtered to that document on its posting date. For an Update stock invoice, this includes both its receivable entry and its cost of goods sold entry.
The report loads more rows as you scroll instead of paging. Export CSV exports every row that matches the filters.
Stock ledger
Section titled “Stock ledger”The stock ledger lists every inventory movement: its incoming, outgoing, and running quantity, the incoming, average, and outgoing rates, and the running stock value, with a link to the source document. It starts with the opening stock state and shows Opening value, Value received, Value issued, and Closing value.
Filter by products, locations, Voucher No (partial match), voucher type, dates, and currency. Reset clears the filters and Export CSV exports the full result.
Stock is valued at moving average cost. The inventory accounts in the general ledger should agree with the stock ledger’s closing value; the year-end close checks this.
Trial balance
Section titled “Trial balance”The trial balance lists every posting account with a balance: Opening (Dr), Opening (Cr), period Debit and Credit, and Closing (Dr) and Closing (Cr), with a Total row. Total debits always equal total credits. Income and expense accounts start at zero at the beginning of each fiscal year.
Profit & loss
Section titled “Profit & loss”Profit & loss summarizes income and expenses for a period in three sections: Income, Cost of sales, and Operating expenses, with Gross profit and Net profit. Summary cards show total income, gross profit and gross margin, total expenses, and net profit.
Click any amount to see which accounts make it up, then click an account to open its ledger. Year-end closing entries are left out, so a closed year still shows its full income and expenses.
Balance sheet
Section titled “Balance sheet”The balance sheet shows Assets, Liabilities, and Equity as of a date. Equity includes Retained earnings (prior years) and Current year earnings, so the sheet balances before the year is formally closed. The last row is Total liabilities and equity.
Receivables and payables aging
Section titled “Receivables and payables aging”Receivables aging and Payables aging show what each customer owes you and what you owe each supplier, as of a date, in buckets by days past the due date: Current, 1–30, 31–60, 61–90, and 90+.
- Balances are rebuilt as they stood on the as-of date, so a past date shows what was outstanding then.
- A document with installments is split, and each installment sits in the bucket for its own due date.
- Credit notes and vendor credits are negative and reduce the party’s total.
- Unallocated advances are included, aged by their posting date.
- Payables are net of withholding tax: what you actually owe the supplier.
Click a row to see the documents open for that party today. On receivables, Write off moves an invoice’s outstanding amount to Bad Debt; see Write-offs.
Cash flow
Section titled “Cash flow”The cash flow report uses the indirect method. It starts from Net profit, adjusts for the change in each non-bank asset and liability to reach Net cash from operations, adds equity movements under Cash flow from financing, and ends with Net change in cash. A final check row shows the actual movement on your bank and cash accounts, which should agree. There is no separate investing section; fixed asset movements are included in operations.
VAT return
Section titled “VAT return”The VAT return shows Output VAT (on sales) from Tax Payable and every account mapped to a tax rate, and Input VAT (on purchases) from Input VAT, with the number of entries and the amount for each account. The footer shows Output tax, Less input tax, and Net VAT payable. Click an account to see the transactions behind it.
Customer statement
Section titled “Customer statement”Choose Account or Contact and pick a customer to see their statement for the period: an opening balance, each receivable posting with a running balance, the closing balance, and an aging summary as of the To date. Click Print to print it from your browser.
Presentation currency
Section titled “Presentation currency”Use the currency picker on any single-company report to view it in another currency, for example a SAR company’s balance sheet in USD. The whole report is converted with one rate: the latest recorded rate on or before the report’s To or As of date. Only the report is converted; the ledger stays in the base currency.
Consolidated reports
Section titled “Consolidated reports”The consolidated reports combine the companies in a group: Consolidated trial balance, Consolidated profit & loss, Consolidated balance sheet, and Consolidated cash flow. They need a group with at least one company.
- Choose the Group entity and which companies to include.
- Choose the dates and the Presentation currency.
Each report shows one column per company, an Eliminations column, and the Consolidated total. Accounts shared through the group chart are combined into one row. Click a consolidated amount to see each company’s contribution and translation rate, or a company’s amount to open that company’s ledger.
- Each company is translated at its rate on the To or As of date. On the trial balance, opening columns use the rate at each company’s start date.
- Posted elimination journals are applied only when both companies in the pair are included. The report says whether eliminations were applied.
- A company whose consolidation starts after the report date is left out, with the reason shown.
- Only 100%-owned, fully consolidated companies are supported.
