Listings are properties your team is selling or renting, such as a villa, an apartment, an office, or a plot of land. A listing keeps the property’s price, address, size, rooms, and marketing details in one record, and connects it to the seller, interested buyers, deals, and showings.

Use Listings when your workspace works in real estate. Each listing belongs to a pipeline, so its stage tells you where the property is in the market, for example Active, Under Contract, or Sold.

Listings appears under CRM in the sidebar when your plan includes it and you have the listings.view permission. Administrators can hide or show it in Settings → General → Feature Modules.

A listing can include:

  • Listing information: name, type, transaction, MLS number, pipeline, stage, agent, co-agent, and description
  • Pricing: price and currency, price frequency, original list price, sold price, HOA or service fee, annual property tax, and commission rate
  • Location: address, city, state or province, postal code, country, neighborhood, subdivision or compound, parcel number, and latitude and longitude
  • Property details: bedrooms, bathrooms, living area, lot size, year built, floors, parking and garage spaces, furnishing, condition, heating, cooling, view, and whether pets are allowed
  • Parties: seller contact, seller account, and buyer contact
  • Lifecycle: listed, available from, expires, and sold dates
  • Marketing: listing URL, virtual tour URL, video URL, public remarks, and showing instructions

Type covers residential, land, and commercial properties, such as House, Apartments, Villa, Penthouse, Lots/Land, Office, Retail, and Warehouse. Transaction is For sale, For rent, For lease, or Auction. For rentals, set Price frequency, such as Per month, so the price shows as “1,200 per month”.

There is no separate status field. The pipeline stage is the listing’s status.

  1. Open Listings.
  2. Select New listing.
  3. Enter the listing name, for example “3-bed villa in Abdoun”.
  4. Choose the type and transaction, and enter the price.
  5. Choose the agent, pipeline, and stage.
  6. Select Save listing.

The create form shows the essentials first. Open the listing and select Edit to fill in the full details, including the seller and buyer.

If you leave them empty, the agent defaults to you, the listed date defaults to today, and the listing starts in the first stage of the workspace’s listing pipeline. Administrators can change the fields on the create form in Settings → Objects.

Enter a size as a number and pick its unit:

  • Living area: square feet or square metres
  • Lot size: square feet, square metres, acres, or hectares

Workstation stores every area in both square feet and square metres, and calculates price per square foot and price per square metre. You never convert by hand, and filters and sorting work in either unit.

The workspace’s measurement system decides which unit appears first and which unit new listings default to. Metric is the default. Lists and Kanban cards show the main unit, and you can add a column for the other one. The record’s Measurements card shows both.

Price per area is the price divided by the living area. For rentals, that means rent per square metre or square foot.

Every workspace starts with a Listing Pipeline with these stages:

Stage Meaning
Coming Soon Not yet on the market
Active On the market
Under Contract An offer was accepted
Pending Waiting to close
Sold Closed
Withdrawn Taken off the market
Expired The listing agreement ended

Change the stages, or add pipelines, in Settings → Pipelines. Listing stages have a name and color but no win probability. A listing can also have no stage.

Stage Health works on listing pipelines. Use it to flag listings that sit too long in a stage or have no recent activity. Flagged listings show a Stale badge.

The Listings page supports List and Kanban views.

  • The All listings tab shows every listing you can see. Add standard views such as For sale, For rent, Sold this year, Expiring soon (expires in the next 30 days), and Stale.
  • Search matches the name, MLS number, address, city, neighborhood, postal code, and parcel number.
  • Default columns include type, transaction, price, living area, bedrooms, bathrooms, city, stage, and listed date. You can add price per area, lot size, MLS number, and the area in the other unit.
  • Kanban groups by stage by default. Drag a card to change its stage. Cards can show price, transaction, beds and baths, living area, address, and agent.
  • Selecting a row or card opens the listing in the shared record flyout. Use Open full page for the full record.

Export the list to Excel from More actions → Export to Excel. Use Table Views to save filters, columns, and sorting.

The record header shows the name, address, transaction, and city, with Open listing page when a listing URL is set, Edit, and Delete listing.

  • The left sidebar shows price and key facts, pipeline and stage, address, property details, agents, dates, and tags. You can edit these properties in place.
  • The Overview tab shows the description, pricing, features, and marketing text. Activities and Timeline hold the listing’s history.
  • The right side shows Measurements, Seller, Deals, Interested Contacts, Accounts, Showings (linked appointments), Attachments, and Radar Findings.

Use Interested Contacts for buyers and enquirers, and Deals for the offers or transactions on the property. Deleting a listing archives it; its deals and activities are kept.

Administrators can change the record layout in Settings → Objects.

listings.delete / listings.delete_own Delete any listing, or only your own

By default, Users can view and create listings and edit or delete their own. Managers, Admins, and Owners have full access.

Listing visibility follows the agent (the owner) and each member’s data-visibility scope for Listings: All, Department, or Own. If no Listings scope is set, the member’s general visibility applies. The co-agent can always see the listing. See Departments for how data visibility is configured.

Workflows can start when a listing is created, updated, or changes stage. Outbound webhooks also send listing.created, listing.updated, listing.deleted, and listing.stage_changed events.
