Locked Modules
A module with a lock icon is one you can’t use with your current seats. Locked modules stay in the sidebar so you can see what Workstation offers and how to get it, instead of the module disappearing.
Why a module is locked
Section titled “Why a module is locked”There are two reasons, and the upgrade prompt tells you which one applies.
| Reason | Example | What unlocks it |
|---|---|---|
| Your workspace doesn’t have it | Tickets is part of Pro, and your workspace only has Starter | Adding Pro, or the right add-on, to the subscription |
| Your workspace has it, but you don’t have a seat | Your workspace has Inbox & Calls, but you only hold a Starter seat | An admin giving you an Inbox seat |
Access always follows the seats you hold. See Seats for how seats work, and Plans & Add-ons for what each plan and add-on includes.
What you see
Section titled “What you see”Open a locked module and, instead of the page, you see a short message saying what the module is part of. What it offers depends on your access:
- Owners and members with the billing.manage permission see Upgrade, which opens Billing → Subscriptions, or Manage seats, which opens Settings → Team.
- Other members are told to ask a workspace admin to add the plan or give them a seat.
Locked actions inside a page
Section titled “Locked actions inside a page”Some buttons belong to a different module than the page they’re on. These buttons stay visible with a lock. Selecting one opens the same message in a dialog instead of running the action. For example:
- Create ticket from an Inbox conversation needs Tickets, which comes with Pro.
- Creating a task from the Inbox needs Activities, which comes with Starter or Pro.
Related automatic behavior is skipped when the module is locked. For example, the Inbox doesn’t create tickets automatically in a workspace without Tickets.
Members without a CRM seat
Section titled “Members without a CRM seat”People with only add-on seats (Inbox, Marketing, or Accounting) still get Contacts. They can view, create, and edit contacts.
They can also view other CRM records, such as the deals and activities on a contact they’re talking to, so they have the full picture. They can’t create or edit those records. If they try, Workstation asks them to get a Starter or Pro seat.
| Record | Add-on seats only | Starter or Pro seat |
|---|---|---|
| Contacts | View, create, edit | View, create, edit |
| Deals, accounts, activities, price offers, orders, invoices, products | View only | View, create, edit |
Your role and data visibility still apply on top of seats. A seat unlocks a module; your role decides what you can do inside it.
Read-only workspaces are different
Section titled “Read-only workspaces are different”A lock on one module is about seats. If the whole workspace can’t be changed, that’s a billing status instead, for example an unpaid invoice or a trial that ended without a card. See Billing.
