Accounting

Accounting is an optional workspace for keeping double-entry books inside Workstation. Once it is enabled, the invoices, payments, and point of sale activity your team already records post to a general ledger automatically, and you can add the rest of the books: supplier bills, expenses, bank reconciliation, journal entries, fixed assets, and financial statements.

You do not need a separate accounting system for day-to-day bookkeeping, and nothing in the CRM changes for people who never open Accounting.

Accounting is a paid add-on with 3 users included. Each person who opens it needs an Accounting seat, and their role decides what they can do there. Workspaces without it keep invoicing and taking payments exactly as before.

Every accounting document follows the same lifecycle:

  1. Draft. You can edit or delete it. It has no effect on the ledger.
  2. Post. Workstation checks it and writes a balanced journal entry. A posted document can no longer be edited or deleted.
  3. Cancel (or Void for invoices). Workstation writes a reversing journal entry. The original stays in the ledger as history.

This is deliberate. Posted history is never rewritten, so your reports for a past period always add up to what you saw at the time, and every correction is visible in the ledger.

Some documents post without a separate step:

  • Opening an invoice, from Accounting or from Commerce → Invoices, posts it.
  • Payments recorded on an invoice in the CRM post as they are saved.
  • Completed point of sale sales and returns post automatically.

For example, when you open a 1,150 SAR invoice with 15% VAT, the ledger receives:

When the customer pays, a second entry moves 1,150 from Accounts Receivable to your bank account.

You only see the pages your role allows. See Permissions.

The Overview page shows three figures for the selected company: Total assets, Receivables outstanding, and Profit this month. When a scheduled depreciation or prepaid entry could not post, it also shows a Needs attention list; see Scheduled entries.

Document lists such as Invoices, Bills, Expenses, and Payments work like other Workstation lists. Use the tabs at the top for common views (for example drafts or overdue documents), add quick filters, search, and save your own table views. Click a row to open the document.

If your organization keeps books for more than one legal entity, a company selector appears in the Accounting header. Every page works on the selected company. See Companies.

  • Permissions: who can see and change what.
