Tasks
Tasks are Activity records with the type Task. They are managed from the unified Activities workspace rather than a separate Tasks page.
Use a task for work that needs to be done. Use a Call or Meeting when the work is a scheduled customer interaction.
Creating a task
Section titled “Creating a task”- Open Activities.
- Select New Activity → Create Task.
- Enter the subject.
- Add a description, priority, status, owner, and related records as needed.
- Add a due date and time if the task should appear as due, overdue, or on the Calendar.
- Add reminders when a due date is present.
- Select Create Activity.
The standard task statuses are Pending, Completed, and Cancelled. Priority can be Low, Medium, or High.
Finding task work
Section titled “Finding task work”The Activities list starts with pending work assigned to you. To focus on tasks, add a Type = Task filter and combine it with the standard tabs:
| Tab | Useful task view |
|---|---|
| Due today | Tasks whose due date is today |
| Overdue | Pending tasks with a due date before today |
| Upcoming | Pending tasks due after today |
| All | All tasks that match the remaining filters |
Save the result as a personal or shared Table View when the team uses it regularly.
Completing and reopening tasks
Section titled “Completing and reopening tasks”In List view, select the completion control at the start of a row. A pending task becomes Completed, and a completed task can be reopened as Pending.
You can also:
- Open the task record and select Mark Complete or Reopen
- Move the card between status columns in Kanban view
- Change Status while editing the activity
Completed time is tracked separately from the last edit time so reports and KPIs can measure when the work was actually completed.
Due dates and reminders
Section titled “Due dates and reminders”A due date is optional. Add one when you need:
- Due-today, upcoming, or overdue filtering
- Placement in the Activity Calendar
- A reminder on the due date or a number of days before it
- Automatic due-soon and overdue notifications for the owner
See Activity Reminders for reminder timing and notification channels.
Linking tasks to records
Section titled “Linking tasks to records”Associate a task with the records that give it context. A single task can be related to multiple supported records, such as a Contact, Account, Deal, Ticket, Project, Invoice, or Campaign.
Examples:
- Associate “Send revised proposal” with the Contact, Account, and Deal.
- Associate “Confirm implementation date” with the Account and Project.
- Associate “Call customer about overdue balance” with the Contact and Invoice.
Bulk task creation
Section titled “Bulk task creation”Supported record lists provide Create tasks as a bulk action. This creates one task per selected record or per record matching the current selection criteria, with each task associated with its source record.
Use this for a defined follow-up campaign, then monitor the resulting work in Activities with Type, owner, due date, and status filters.
