Activity Reminders
Activity Reminders notify the signed-in user at a chosen time before a Task, Call, or Meeting. Each activity can have up to four reminders.
Reminders are configured on the activity itself and can use Email, In-App, or both channels.
Reminder timing
Section titled “Reminder timing”Timing depends on the activity type.
Meetings
Section titled “Meetings”Meeting reminders are relative to the meeting start:
- 5, 10, 15, or 30 minutes before
- 1 or 2 hours before
- 1 day before
The meeting must have a start time.
Tasks and calls
Section titled “Tasks and calls”Task and call reminders can use:
- The due date at a selected time
- A number of days before the due date at a selected time
- A custom date and time
A Task needs a due date before the reminder section appears. Calls use their scheduled date or due date as the reminder anchor.
Reminder times use the workspace timezone when Workstation calculates the delivery time.
Adding a reminder
Section titled “Adding a reminder”- Create or edit a Task, Call, or Meeting.
- Find Reminders near the end of the form.
- Select Add Reminder.
- Choose the timing.
- Choose Email, In-App, or Email & In-App.
- Repeat for up to four reminders.
- Save the activity.
Edit the activity again to change or remove future reminders. Saving the edited activity replaces its previous reminder configuration.
Viewing all reminders
Section titled “Viewing all reminders”Open Activities and select Reminders in the page actions. This replaces the activity list with a paginated reminder panel.
The panel provides:
- Upcoming for unsent future reminders
- History for reminders already sent
- All for both
Each row shows the activity, reminder timing, channel, scheduled delivery time, and Pending, Overdue, or Sent state. Select a row to open the related activity.
Delivery channels

The reminder worker checks for due reminders every minute. A reminder is marked sent after processing so it is not delivered repeatedly.
Email delivery requires a working platform email configuration. In-app delivery remains available independently of the user’s mailbox or calendar connection.
Reminders versus automatic alerts
Section titled “Reminders versus automatic alerts”Configured reminders are not the same as the system’s Activity alerts:

The automatic due-date check runs every five minutes for pending activities. It sends each Due Soon or Overdue event once and ignores activities that became overdue more than seven days ago.

Appointment reminders
Section titled “Appointment reminders”Online Booking has a separate appointment-reminder system. It emails clients before eligible online bookings using the lead time configured on the booking portal. Those reminders do not appear in the Activity Reminders panel.
