Seats

A seat decides what one person can use. Each member can hold:

  • one plan seat: Starter, Pro, or none
  • any add-on seats: Inbox, Marketing, Accounting, or any mix

What a member can open follows the seats they hold, not what the workspace has bought. If your workspace has Pro but a member holds a Starter seat, that member sees Pro-only modules such as Tickets as locked.

You need to be a workspace owner or admin.

  1. Go to Settings → Team.
  2. Find the member and select Manage seats (the layers icon on their row).
  3. Under Plan seat, pick Starter, Pro, or No plan seat.
  4. Under Add-ons, turn on Inbox, Marketing, or Accounting if they need them.
  5. Select Save seats.

The change applies right away. The member may need to refresh the page to see newly unlocked modules.

The Plan column on the Team page shows the seats each member holds. Members without any seat show as Unseated.

Manage seats appears when your subscription has more than one kind of seat, for example Starter plus Inbox & Calls. If you only have one kind, use Assign seats to existing members on the same page: pick the plan, select the unseated members, and select Assign. That panel is also the quickest way to seat several people at once.

Plan seats and add-on seats are counted differently.

Plan seats are bought first, then given out. The dialog shows how many are open, for example “2 of 10 open”. When a plan is full, it shows No open seats. Buy more in Billing → Subscriptions and come back to assign them. Plan seats you’ve bought stay open when nobody holds them, ready for the next person.

Add-on seats size themselves. Inbox & Calls and Marketing each include 5 users, and Accounting includes 3. When you give a seat to one person more than that (a sixth Inbox user, or a fourth Accounting user), one extra user is added to your bill and prorated. When you take the seat away, the extra user drops off. The dialog shows how many included users are used and what an extra user costs before you save.

New workspaces pay at least $100 / 375 SAR a month. When your plan comes to less, Workstation adds plan seats to reach it, so you may have more open seats than people. Give them to anyone on the team. See Minimum bill.

When you invite someone from Settings → Team, a plan seat is held for them. The Plan column shows it as reserved until they accept. If you see Add more seats to invite members, add seats in Billing → Subscriptions first. After they join, adjust their seats with Manage seats, for example to add Inbox.

Workspaces created before the current pricing keep their existing seat rules. In those workspaces the same button reads Change plan and moves a member between the plans on the subscription.
