Point of Sale settings decide where the register can sell, who can use it, and what cashiers are allowed to do. Most settings are per branch, so two stores can work differently.

Open Settings → Point of Sale:

Item What it holds
Branches & Registers POS behavior, registers, discounts, tips, receipts, and the register layout for each branch
Team Access & PINs Which members can use the register, at which branches, and their PINs
Payment Methods The payment options shown at checkout, and their order. This is the same list as Settings → Finance → Payment Methods. See Payments.
Taxes Tax rates and whether displayed prices include tax
Currencies Base currency, selling currencies, and exchange rates
Products / Product Categories What you sell and how it is grouped on the register
Inventory Branch stock, suppliers, brands, and transfers

Apart from Branches & Registers and Team Access & PINs, these are shortcuts to the workspace-wide settings of the same name. Branches are the same records as Settings → Locations. Changing POS settings needs pos.manage_settings, registers need pos.manage_devices, and the layout needs pos.manage_layout.

Open Branches & Registers and select a branch. Each branch has these tabs:

Tab Holds
General Name, contact number, timezone, address, opening hours, and whether the branch is active
Billing & tax Company name and billing address for receipts, Receipt prefix and Next receipt number, tax defaults, Tax pricing, and tipping (Ask for tips, Suggested tip percentages)
Point of sale Selling rules, ticket names, scale barcodes, and staff and stock alerts
Checkout Checkout fields and discount presets
Registers The registers at this branch
Receipts Paper size, header, and footer
Layout The register’s tiles and tabs

Receipt numbers run separately for each branch and use the receipt prefix (or the register code) followed by a number.

On the Point of sale tab:

Setting What it does
Enable POS Lets activated registers sell from this branch
Require an open shift Cashiers must open a shift and count the drawer before selling
Held tickets Lets cashiers park a sale and resume it later
Walk-in sales Allows checkout without choosing a customer
Partial payments Lets a sale stay open when the payment doesn’t cover the full balance
Open prices Lets authorized operators type a price for an item
Blind cash close Hides expected cash until the drawer count is submitted
Negative stock Block sale, Warn and require authority (needs pos.sell_negative_stock), or Allow sale
Cash rounding increment Rounds cash-only sales, for example to 0.05. Leave empty for no rounding.

Turn on Predefined ticket names to offer cashiers a fixed list when they hold a ticket, such as tables, counters, or pickup spots. Add names with Add a name. A name already used by an open ticket isn’t offered twice, and cashiers can still type their own.

Deli and produce scales print barcodes with the weight or price built in. Turn on Scale barcodes to read them. For example, scanning 2 00123 00750 adds item 00123 at 0.750 kg.

  • In-store prefix: the first one or two digits that mark a scale barcode. Most scales use 2.
  • What the code carries: Weight in grams or Price amount.

The middle five digits are the scale’s item code (PLU). It must match the item’s SKU or barcode, and the item must be sold by weight (see Items sold by weight).

  • Time clock lets employees clock in and out on the register’s PIN screen. Clocking in does not open a shift. See Time Cards.
  • Daily low stock email sends one email a day listing the branch’s low and out-of-stock items. It goes to everyone with the inventory.manage permission. An item counts as low when its stock is at or below its Low stock level.

On the Checkout tab, Add an invoice property to ask cashiers for extra details on every sale, such as a table number or a delivery note. Mark fields Required when the sale shouldn’t complete without them. Create the properties first under Properties for Invoices.

Click Add discount to create a preset that cashiers can pick:

  • Name, Applies to (One item or Whole sale), Type (percentage or fixed), and Value.
  • Manager approval: a manager must approve it with their PIN.
  • Allow combining: when off, the preset can’t be used with other discounts.

Presets can be added and deleted, but not edited. To change one, delete it and add it again.

On the Registers tab, click Add register and give it a name. Activate the registers cashiers can choose. Deactivating or deleting a register signs out anyone using it.

Choose the Paper profile (58 mm compact, 80 mm / 3-inch standard, or 101.6 mm / 4-inch wide), and add a Receipt header and Receipt footer. Preview receipt prints a test receipt so you can check the printer. Turn off the browser’s headers, footers, margins, and scaling when printing.

By default the register shows All, Products, Services, and Memberships tabs. On the Layout tab you can design up to three tabs of your own, each with up to 36 tiles. A tile can be a category, a product, an exact variant, or a discount, with a short label and a color. Click Save layout, or Restore automatic to go back to the default.

Open Team Access & PINs and select a member. On the Point of Sale card, click Turn on (or Edit POS access), then:

  1. Switch on POS access.
  2. Choose the POS locations they can sell at, or All locations.
  3. Optionally choose a Default register.
  4. Click Set PIN and enter a 6-digit PIN, or Generate PIN. Repeated or sequential digits are rejected. Tick Require a new PIN at the register to make the cashier choose their own PIN the first time.

The card shows Needs a PIN until a PIN is set. Resetting a PIN signs the member out of any register. Setting PINs needs pos.reset_member_pin.

A member also needs a role with POS permissions. See Point of Sale permissions.

POS sells the products and services in Settings → Products. A few product settings matter at the register.

On the product form, Measure decides how cashiers enter the quantity:

  • A whole product: cashiers enter whole units.
  • A unit such as kg, g, lb, oz, l, or ml: cashiers enter a decimal amount and the price is per unit. For example, 0.750 kg at 10.00 per kg is 7.50.

Scale barcodes only work for items sold by weight (kg, g, lb, or oz).

In the product’s inventory section, Edit locations sets where the item is Stocked at. For each branch you can set:

  • Low stock level, used by stock warnings and the daily low stock email;
  • Store price, which replaces the product’s normal price at that branch. Leave it empty to use the default price.

A composite item is made of other items, such as a gift basket. When it is sold, stock is taken from its components, and the register warns when a component runs short. The product form doesn’t have a screen for setting up components yet.
