# Appointment Checkout

> Turn appointment services into sales with products, discounts, tips, payments, gift cards, loyalty, and memberships.

Appointment Checkout turns scheduled services into a sale and invoice. It can also create a standalone walk-in sale without an Appointment.

Open an appointment and select **Checkout**, or use **Add → New sale** from the appointment calendar.

## Checkout flow

Checkout has three steps, shown as **Cart › Tip › Payment**:

1. **Add to cart** for services, products, memberships, quantities, and discounts.
2. **Select tip** for no tip, a preset percentage, or a custom tip, and how it is split.
3. **Select payment** for one or more payment methods, gift cards, store credit, and loyalty rewards.

The summary stays visible while you move through the flow, ending with the amount **To pay**. The main button changes with each step: **Continue to tip**, **Continue to payment**, then **Pay now**, **Save part-paid**, or **Save unpaid** depending on the payments entered.

## Cart

Appointment services are added to the cart automatically. Use the **Services**, **Products**, and **Memberships** tabs to add more.

A booked [bundle](https://workstation.repzo.com/docs/engagement/appointments#service-bundles) arrives as separate service lines with the bundle price split across them. Bundles can't be added from the checkout cart.

Select a cart line to edit its **Price**, **Quantity**, **Discount**, and **Team member**. The discount picker offers **No discount**, 5% steps up to 100%, or a **Custom** percentage. Tax comes from each item's tax rate.

The ⋮ menu offers:

- **Add tip**
- **Add cart discount**, as a **Percentage (%)** or **Fixed amount**
- **Add sale note**
- **Save as draft**
- **Cancel sale**

Workstation calculates subtotal, discounts, tax, tip, and the final total in the sale currency. For a tax-exempt customer, the Tax row shows **Exempt** with the note **Tax exempt customer — no VAT charged**.

## Client and walk-in sales

Appointment checkout uses the appointment's client. A standalone New sale can remain a walk-in or use **Add client** to select a Contact.

A client is required to sell a membership, redeem membership sessions, use loyalty rewards, or pay with store credit.

## Memberships

Memberships and prepaid packages are configured in **Settings → Appointments → Memberships**. Select **New membership** to create a plan:

| Setting | Options |
|---|---|
| **Pricing and payment** | **One-time payment** (a package, with **Valid for** and **Price**) or **Recurring payments** |
| **Payment frequency** | **Weekly**, **Bi-weekly**, **Monthly**, **Quarterly**, or **Yearly**, for recurring plans |
| **Length of membership** | **Until canceled**, a fixed number of months, or **Custom**, for recurring plans |
| **Sessions** | **Limited** (with a number of sessions) or **Unlimited**, for the included services |

A plan also has a tax rate, a color, **Enable online sales** and **Enable online redemption** switches, and **Terms & Conditions**.

The Memberships page shows **Active members**, **Monthly recurring revenue**, and **Sessions redeemed**, with **Plans** and **Memberships sold** tabs. Open a sold membership to **Pause**, **Resume**, or **Cancel** it and review its activity.

Recurring memberships renew automatically each cycle: Workstation creates a due invoice, resets the sessions, and moves the renewal date forward. Cards are not charged automatically, so collect the renewal invoice like any other invoice.

At checkout, the **Memberships** tab has two parts:

- **Cover services with a membership** — tick a service line to cover it with one of the client's memberships, shown with the sessions left
- **Sell a membership** — add a plan to the cart

A covered service is free on the sale. The session is used only when checkout completes, and voiding the sale gives it back. Client memberships also appear in the appointment panel and on the Contact record.

## Loyalty and discounts

When [Client Loyalty](https://workstation.repzo.com/docs/operations/client-loyalty) is turned on, checkout can apply:

- the client's tier discount, on lines that have no manual discount and are not covered by a membership
- a reward, from **Redeem points** on the Payment step

Redeem points shows the client's available points and the rewards they can afford. Select **Apply** to use one, or **Remove** to take it off. Remove any entered payments before changing the reward.

A percentage cart discount can't be combined with a reward. In a cashback program, the Payment step shows how much cashback the sale will earn instead.

## Tips

Choose **No tip**, **10%**, **18%**, or **25%**, or select **Custom tip** to enter an amount or percentage. Workstation assigns the tip to the team member who performed the service.

When several team members performed services, the tip is split in proportion to service value. Select **Tips** in the summary to open **Edit or split tip**, where you can change each person's share or **Add team member**. The total tip becomes the sum of the shares.

## Payments

Select **Add payment method** to add a payment. Add more than one for a split payment. Cash payments can record the amount received and calculate change.

The default methods are Cash, Credit Card, Bank Transfer, Check, Online, and Other. Administrators choose, add, and order payment methods in **Settings → Point of Sale → Payment Methods**.

### Gift cards and store credit

Use the **Gift card or store credit** panel to pay with a prepaid balance. Enter a gift card code and select **Check** to see its balance, or select **Use store credit** for the client's wallet, then **Apply** the amount. See [Gift Cards](https://workstation.repzo.com/docs/commerce/gift-cards).

### Unpaid and part-paid sales

When no payment is added, the main button reads **Save unpaid**. When payments cover only part of the total, **Save part-paid** asks you to confirm. An appointment with an outstanding balance shows **Sale total** and **Left to pay**; select **Pay now** in the appointment panel to collect the rest.

## Checkout result

Successful checkout:

- Creates an Invoice and invoice line items
- Records payments and the remaining amount due
- Links the sale to the Appointment and Contact
- Applies membership purchases and session use
- Applies loyalty earning and redemption
- Records tip allocation

When the sale is fully paid (or the total is zero), the appointment is also marked complete and the **Appointment Checked Out** [workflow](https://workstation.repzo.com/docs/administration/workflows) trigger runs. Unpaid and part-paid sales don't do this until they are settled.

The success screen shows **Payment complete** and the amount. Select **Go to client profile** to open the Contact, or **Continue** to return to the calendar.

If the workspace reports invoices to ZATCA, checkout invoices are reported automatically in the background. A ZATCA failure never blocks the sale.

## Viewing the sale

After checkout, select **View sale** from the appointment. The sale panel shows the sale number and date, the items, subtotal, tax, tip, total, and payments, with an **Activity** tab for the sale's history. The full invoice is available in [Invoices](https://workstation.repzo.com/docs/commerce/invoices).

## Reviews after checkout

The optional “Thank you for visiting” workflow uses the checkout event to email the client a review request. See [Reviews](https://workstation.repzo.com/docs/engagement/reviews).
