# Accounts

> Manage companies, account hierarchies, contacts, and commercial relationships.

Accounts represent companies, organizations, or other business entities. They provide a shared place for company data and connect contacts, deals, service work, and commercial records.

## Account data

The standard Account properties cover:

- Name, type, status, lifecycle stage, owner, industry, source, and description
- Website, company domain, additional domains, email, phone, LinkedIn, and primary address
- Billing address
- Annual revenue, number of employees, and founded year
- Parent account, last activity date, and system dates

Administrators can add custom and computed fields in [Properties](https://workstation.repzo.com/docs/administration/properties), so a workspace may require or display additional information.

## Creating an account

1. Open **Accounts**.
2. Select **New Account**.
3. Enter the account name.
4. Add the owner, type, status, lifecycle stage, industry, and contact details you know.
5. Choose a parent account when this organization belongs to a larger company.
6. Save the account.

Accounts can also be created through imports, supported integrations, and automatic account matching (below).

When you type a domain that another account already uses, the form warns you and links to the existing account so you don't create a duplicate.

## Lifecycle stage

**Lifecycle Stage** says where the company is in your journey with it. Every workspace starts with an **Account Pipeline** with these stages:

| Stage | Meaning |
|---|---|
| Lead | You know about the company, nothing more yet |
| Prospect | You are actively working on it |
| Opportunity | There is a real chance to sell |
| Customer | The company buys from you |
| Former customer | The company used to buy from you |

A new account starts in the first stage unless you pick another one. Accounts created by the ERPNext sync start in **Customer**, because ERPNext only sends paying customers. Rename, reorder, or add stages in [Pipelines](https://workstation.repzo.com/docs/sales/pipelines), the same way as for contacts and deals.

The stage sits next to two other properties, each with its own job:

- **Account Type** is the kind of company it is to you: customer, partner, vendor, competitor, or other.
- **Account Status** is how healthy the relationship is right now: active, at risk, inactive, or churned. A new account has no status until there is a relationship to describe.
- **Lifecycle Stage** is the step in your journey with the company.

Partners, vendors, and competitors usually have no lifecycle stage, because they are not part of your sales journey.

Moving an account to another stage is recorded in its history and sends the `account.stage_changed` [webhook](https://workstation.repzo.com/docs/administration/webhooks).

## Company domains and automatic matching

**Company domain** is the account's main web domain, such as `acme.com`. Use **Additional domains** for other domains the same company uses, one per line. Domains are entered without `https://` or a path.

Workstation uses these domains to match people to companies:

- When someone creates a contact with a work email, the form suggests the account that owns that email domain.
- When **Create and link accounts automatically** is on, saving a contact with a work email links it to the matching account, and creates the account if none exists yet. Free email providers such as Gmail and Outlook are ignored; the contact's website is used instead.

Administrators manage this in **Settings → Objects → Accounts → Automation**. Use **Excluded domains** for your own domain, partners, or resellers whose staff should never be linked to an account. Turning the option on can also process existing contacts in the background.

## Account hierarchy

Use **Parent Account** to model a company structure:

```text
Acme Group
├── Acme Jordan
└── Acme UAE
```

Keep separate accounts when branches have different contacts, deals, addresses, billing details, or service history. Use one account when the distinction is only a reporting label that can be handled by a property.

## Contacts and related records

An account can have multiple [Contacts](https://workstation.repzo.com/docs/sales/contacts), and one contact can be marked as the account's primary contact. Contacts can also be associated with more than one account when needed.

Account records can connect to Deals, Tickets, Appointments, Projects, Carts, Invoices, Subscriptions, Campaigns, Price Offers, Activities, Emails, and attachments. These associations make the account a useful company-level history without copying the same information into several records.

## Account list

The Accounts page provides a paginated list with:

- Built-in **All accounts**, **My accounts**, and **Unassigned** tabs
- Quick filters for account owner, lifecycle stage, industry, and create date
- A **Kanban** board, with one column per lifecycle stage
- Search, sorting, configurable columns, saved views, and Excel export
- Row selection for bulk assign, bulk edit, delete, and task creation

On the board, drag a card to another column to change the account's stage. When the workspace has more than one account pipeline, pick the pipeline next to the search box. Use the board settings to group by another property, such as Account Type or Owner, or to choose which fields the cards show.

Bulk actions run in the background, so you can keep working while a large selection is processed. The list refreshes when the job finishes.

Selecting an account opens it in the shared record flyout, an overlay on top of the list. The URL keeps the open record, so you can share the link or use **Open full page**. Use [Table Views](https://workstation.repzo.com/docs/administration/table-views) to save list configurations for personal or shared use.

## Duplicates

Select **Manage duplicates** on the Accounts page to find and merge duplicate companies. Workstation matches accounts by company domain, email, phone, and name, and you can add your own detection rules. See [Contacts → Duplicates](https://workstation.repzo.com/docs/sales/contacts#duplicates) for how review and merging work; the same page handles both contacts and accounts.

## Working from the account record

The default record page has **About**, **Activities**, **Emails**, **Invoices**, **Comments**, and **Timeline** tabs, with account details in the left sidebar and related-record cards on the right.

The **Activities** tab is a timeline of notes, calls, tasks, and meetings linked to the account. You can leave a note, log a call, create a task, or schedule a meeting from it. See [Activities on a record](https://workstation.repzo.com/docs/engagement/activities#activities-on-a-record).

Administrators can change the card order, visible tabs, property placement, and association-card behavior in [Settings → Objects](https://workstation.repzo.com/docs/administration/objects). The actual record page may therefore differ from the system default.

## Visibility

Accounts are globally visible within the organization to users with the appropriate Account permissions. They are not restricted by owner-based department visibility. Ownership still supports assignment, **My Accounts**, and reporting.

## Import and export

Use **Settings → Import / Export** ([Data Import and Export](https://workstation.repzo.com/docs/administration/data-import-export)) to import CSV or Excel data, including custom properties. Choose Create Only, Upsert, or Replace based on how existing records should be handled.

Review duplicates and parent-account references before importing a hierarchy.
