# Drive

> Upload, organize, preview, share, and recover workspace files.

Drive is the workspace file manager. Use it for files that should be easy to find across the organization, and use a record's attachment area when a file only makes sense beside that record.

## Drive sections

The left navigation separates files by how they are used:

| Section | Contents |
|---|---|
| **My Drive** | Your folders and files |
| **Shared with me** | Content shared directly or through a department |
| **Recent** | Recently used files |
| **Starred** | Files and folders you marked for quick access |
| **Trash** | Deleted content that can be restored or permanently removed |

**Linked Files** gathers attachments from Deals, Activities, Tickets, Projects, Accounts, Contacts, and Price Offers. Opening a linked file shows a preview with a **Source** link back to the record it belongs to.

## Organize and find content

Use **New → New folder** in My Drive to create a folder, optionally with a color, and use breadcrumbs to move through folders. Keep folder trees shallow and names predictable so other users can find content later.

Drive supports grid and list layouts. You can change the grid density, sort by **Last modified**, **Newest first**, **Name A→Z**, **Name Z→A**, or **Largest first**, and use **Search Drive** to find a file or folder by name.

Select several items to act on them together, for example to move them all to Trash.

## Upload and preview files

Select **New → Upload file**, or drag files onto the page, to add them to the current folder. Uploads go into **My Drive**; switch to it first if you are in another section. Upload progress stays visible while you keep working, and an upload in progress can be cancelled.

Images, video, and audio can be previewed in Drive, and images open in a zoomable viewer. PDFs and other documents can be opened in a new tab or downloaded. Use **File information** to see a file's details.

Files and folders can be renamed, starred, shared, or moved to Trash. In Trash, use **Restore** to recover an item or **Delete forever** to remove it permanently. Items in Trash are deleted forever automatically after 30 days.

## Sharing

Folders can be private, shared with selected people or departments, or shared with **Anyone in your org**. Folder visibility is inherited by its contents.

Files and folders can be shared with:

- a workspace user
- a department, from the **Team** tab
- an external email address, from the **Email** tab

Choose **Viewer** for people who only need to open or download content. Folders can also be shared as **Editor** when a collaborator should manage the folder's contents; files are always shared view-only.

External invitees receive an email with a secure link that opens the shared folder or file without a workspace account.

Review sharing at the folder level before sharing every file separately. A well-chosen shared root is easier to maintain.

## Drive or record attachments?

Use Drive for reusable or organization-wide material such as policies, templates, brand assets, and shared delivery folders. Use record attachments for evidence or context that belongs to one [Project](https://workstation.repzo.com/docs/operations/projects), [Ticket](https://workstation.repzo.com/docs/operations/tickets), [Account](https://workstation.repzo.com/docs/sales/accounts), or [Price Offer](https://workstation.repzo.com/docs/sales/price-offers).

Linked Files lets users find those record attachments from Drive without duplicating them.

## Permissions

Drive has separate permissions for viewing, creating, updating, deleting, and sharing content. A shared link does not replace the workspace permissions required for internal management actions.
