# Activity Calendar

> View dated tasks, calls, and meetings and sync meetings to Google or Outlook.

The Activity Calendar is the Calendar view inside [Activities](https://workstation.repzo.com/docs/engagement/activities). It shows Tasks, Calls, and Meetings that have a due date or start time.

This calendar is different from the [Appointments calendar](https://workstation.repzo.com/docs/engagement/appointments):

| Activity Calendar | Appointments calendar |
|---|---|
| Follow-ups, calls, and meetings | Client services and bookings |
| Uses Activity due dates and start times | Uses appointment date, time, staff, location, services, and resources |
| Supports Google or Outlook sync for Meetings | Supports shifts, time off, block time, checkout, and online booking |

[Meeting Links](https://workstation.repzo.com/docs/sales/meeting-links) also has its own **Calendar** tab. It shows booked meetings for each host next to their Google Calendar events, and it is where you reschedule or cancel a booking. Booked meetings are Meeting activities, so they appear in the Activity Calendar too.

## Opening the calendar

1. Open **Activities**.
2. Select the Calendar icon in the view switcher.
3. Use **Day**, **Week**, or **Month** to change the calendar range.

Use the previous and next controls to move through the selected range, or select **Today** to return to the current date.

The Activity view is stored in the `view` URL parameter, so a saved or shared Activities URL can reopen Calendar view.

## What appears on the calendar

Workstation places an activity on its due date when one is set; otherwise, it uses the scheduled start time. Tasks normally use their due date, while Calls and Meetings normally use their start time.

Activities without either a due date or start time do not appear.

The month view shows the first three activities in each date cell and a count for additional items. Day and week cards show more context and open the activity editor when selected.

## Creating calendar work

Create the record from the **New Activity** menu:

- **Create Task** for work with an optional due date.
- **Log Call** for a call with a scheduled start.
- **Schedule Meeting** for a future meeting.
- **Log Past Meeting** for a meeting that already happened.

The activity appears after it has a due date or start time. Use the List or Kanban view when you need to create, bulk-edit, or reorganize several records.

## External calendar connections

Meeting activities can create events in Google Calendar or Outlook.

1. Open **Settings → Your Account → Email & Calendar**.
2. Connect Google Calendar, Outlook Calendar, or both.
3. Schedule or edit a Meeting in Activities.
4. Choose an in-person or virtual meeting.
5. Enable calendar sync or select Google Meet or Microsoft Teams.

Selecting Google Meet or Microsoft Teams automatically chooses the matching calendar provider and asks the provider to create the conference link. A custom virtual meeting uses the URL you enter.

## How sync behaves

Calendar sync is managed from Workstation:

- Creating the meeting creates the external event.
- Editing a synced meeting updates the external event.
- Turning sync off removes the linked external event.
- Deleting a synced meeting removes the linked external event.

If sync fails, Workstation still saves the Activity and shows a warning. Reconnect the provider from Email & Calendar settings when the warning says the connection needs attention.

Do not assume that an edit made directly in Google or Outlook will update the Workstation activity. Use Workstation as the source of truth for CRM meeting details. The exception is meetings booked through Meeting Links: changes made in Google Calendar to their time, title, video link, or cancellation sync back, usually within a minute.

## Participants and invitations

Meetings and calls can include contact participants. Calendar-connected meetings use participant email addresses when creating the provider event and invitations.

Associations are separate from participants. Associate the activity with the relevant Contact, Account, Deal, or other record even when that person is also a participant.
