# Activities

> Manage calls, meetings, tasks, reminders, and related CRM work from one workspace.

Activities is the shared workspace for scheduled work and customer follow-up. From one page, you can log calls, schedule or record meetings, create tasks, set reminders, and connect the work to other records. Every Contact, Account, and Deal also has an **Activities** tab that shows the same work as a timeline, with notes.

The **New Activity** menu currently creates three activity types:

| Type | Use it for |
|---|---|
| Task | A follow-up or action item with an optional due date and time |
| Call | A scheduled or completed call with a start time and duration |
| Meeting | An in-person or virtual meeting with participants and optional calendar sync |

Notes are created from a record's **Activities** tab instead. Email and messaging history can also appear on record timelines, but they are not choices in the **New Activity** menu.

## The Activities workspace

Open **Activities** from the CRM section of the sidebar. The page includes:

- Standard tabs for **All**, **Due today**, **Overdue**, and **Upcoming**
- Quick filters for assignee, creator, type, status, due date, updated date, and created date
- Search, sorting, configurable columns, saved views, and personal standard-tab overrides
- List, Kanban, and Calendar views
- A Reminders panel for upcoming and sent reminders

The initial list focuses on pending activities assigned to you. Change or save the filters when you need a team-wide or historical view.

See [Table Views](https://workstation.repzo.com/docs/administration/table-views) for shared views, personal tabs, filters, and column settings.

## Creating an activity

Select **New Activity**, then choose an action:

- **Log Call** opens the activity editor as a Call.
- **Schedule Meeting** opens the meeting scheduler for a future meeting.
- **Log Past Meeting** records a meeting that already happened.
- **Create Task** opens the activity editor as a Task.

Every activity has a subject, type, status, priority, and owner. It can also have a rich-text description and associations to supported CRM records.

### Tasks

A task can have a due date and time. The due date is optional, but it is required for overdue tracking and task reminders.

See [Tasks](https://workstation.repzo.com/docs/engagement/tasks) for the task-focused workflow.

### Calls

A call requires a start date and can include a start time, duration, participants, and reminders. Call records can also store an outcome such as Connected, Busy, No answer, or Left voicemail.

### Meetings

A meeting requires a start date and supports:

- A start time and duration
- In-person or virtual meeting type
- Google Meet, Microsoft Teams, or a custom meeting link
- Contact participants and invitation details
- Google Calendar or Outlook calendar sync
- Up to four reminders
- Meeting outcomes such as Scheduled, Completed, Rescheduled, No show, or Canceled

Use the dedicated meeting scheduler when you want to schedule or log a meeting with the guided meeting flow.

### Meetings from other sources

Some Meeting activities are created for you:

- **Meeting Links bookings.** When a customer books through a [Meeting Link](https://workstation.repzo.com/docs/sales/meeting-links), Workstation creates a Meeting activity linked to the contact. Change the time, cancel, or delete these meetings from **Meeting Links → Calendar**, not from the activity. Notes and outcomes stay editable on the activity.
- **Read.ai.** When the Read.ai app is connected from the [Marketplace](https://workstation.repzo.com/docs/configuration/marketplace), recorded meetings are imported as completed Meeting activities on matching contacts. The activity shows Read.ai's summary, action items, notes, topics, key questions, and transcript, with **Open report** linking to the original. Action items can become tasks.

## Activities on a record

Contacts, Accounts, Deals, and other supported records have an **Activities** tab. It is a timeline of everything logged against the record, grouped by month with the newest first.

- Use the sub-tabs **All activities**, **Notes**, **Calls**, **Tasks**, and **Meetings** to focus on one type, and the search box to find an entry.
- On **All activities**, select **Log Activity** to choose **Create a note**, **Log a call**, **Create a task**, **Log a meeting**, or **Schedule a meeting**. Each filtered sub-tab shows only its own buttons.
- Expand an entry to read the full description, or use **Expand all** and **Collapse all**.
- Mark tasks complete, edit, or delete entries directly from the timeline.

A **note** is a rich-text entry for something worth remembering, such as the outcome of a hallway conversation. A note has no separate subject; Workstation uses the start of the note text. Anything you create from the tab is linked to that record, so it shows up in the record's history.

## Associations and timelines

An activity can be associated with more than one supported record, including Contacts, Accounts, Deals, Tickets, Projects, Invoices, Orders, Price Offers, and Campaigns.

When you create an activity from a record page, Workstation can prefill that association. The activity then appears in the related record's activity history without duplicating the activity.

The full activity record includes:

- **About** for activity details, participants, reminders, attachments, and other information
- **Comments** for internal discussion
- **Timeline** for changes and audit history
- Association cards for linked records

List rows open the activity in the shared record flyout. Use **Open full page** when you need the complete record page.

## List view

The List view supports server-side pagination, search, filters, sorting, and configurable columns. Use the completion control at the start of a row to mark an activity complete or reopen it.

When rows are selected, bulk actions can:

- Assign activities
- Edit supported fields
- Delete activities
- Create follow-up tasks

## Kanban view

The Kanban view can group activities by Status or another supported select property. Dragging a card updates the grouping value when that property is editable.

For the Status grouping, the standard columns are Pending, Completed, and Cancelled. Cards support inline subject editing, configurable card fields, and quick actions.

## Calendar view

The Calendar view places any Task, Call, or Meeting with a due date or start time onto a day, week, or month view. It is not limited to meetings.

See [Activity Calendar](https://workstation.repzo.com/docs/engagement/calendar) for view behavior and external calendar sync.

## Reminders and automatic alerts

You can add up to four reminders to a supported activity. Meeting reminders are relative to the meeting start; task and call reminders use a due date or a specific reminder date and time.

Reminders are separate from the automatic **Activity Due Soon** and **Activity Overdue** notifications. See [Activity Reminders](https://workstation.repzo.com/docs/engagement/reminders) for the difference.

## Properties and record layout

Administrators can manage native, custom, and computed Activity fields in [Properties](https://workstation.repzo.com/docs/administration/properties). Activity record cards and tabs can be arranged in [Objects](https://workstation.repzo.com/docs/administration/objects).

Changing a property definition affects forms, filters, automation, reporting, and other surfaces that use the property. Hiding a property from a record card does not delete it.

## Calendar connections

Connect Google Calendar or Outlook from **Settings → Your Account → Email & Calendar** before selecting those providers on a meeting.

Workstation creates, updates, or removes the linked external event when the meeting changes. If the provider connection has expired or sync fails, the activity is still saved and Workstation shows a sync warning.

## Visibility and permissions

Activity access follows the Activities data-visibility scope:

- **All** can access organization activities.
- **Department** can access activities owned by visible department members.
- **Own** is limited to the user's activities.
- Unassigned activities are included where the configured visibility permits them.

Create, update, and delete actions also require the corresponding Activity permissions.
