# Orders

> Create or sync orders, track payment and fulfillment, redeem loyalty points, and turn order line items into invoices.

Orders record what a customer purchased and how the order is progressing. They can be created in Workstation or synced from a connected commerce or ERP app such as Shopify, ERPNext, or Repzo SFA. Orders placed by the AI agent or through WhatsApp also land here.

## Create an order

1. Open **Commerce → Orders** and click **Create order**.
2. Pick the customer in the Contact card, or create a new Contact from the same search.
3. Click **Add product** to add catalog items, or **Add custom item** for a one-off line. Adjust the unit price and quantity on each line.
4. In the **Payment** card, use **Add discount** (percentage or fixed amount) and **Add shipping or delivery** when needed. Estimated tax is calculated from each product's tax rate. Customers marked tax exempt are not charged tax.
5. Set the currency, fulfillment status, pipeline, stage, and notes in the side cards.
6. Choose how to finish:
   - Tick **Payment due later**, then click **Create order** to save it as unpaid.
   - Or use **Collect payment** → **Credit card** or **Mark as paid** to save it as paid.

The fields on the create form follow the layout your admins set in [Objects](https://workstation.repzo.com/docs/administration/objects). Use [Pipelines and Stages](https://workstation.repzo.com/docs/sales/pipelines) when the team needs a consistent order process.

### Redeem loyalty points

When [Client Loyalty](https://workstation.repzo.com/docs/operations/client-loyalty) is active and the customer has points, a **Redeem points** section appears under the payment summary. Choose a reward and the discount shows as **Points reward** in the totals. Some rewards cannot be combined with other discounts, and free-item rewards need that item on the order.

## List and Kanban views

The list shows the order, total, currency, payment status, fulfillment status, and processing dates. Use search, filters, saved [table views](https://workstation.repzo.com/docs/administration/table-views), and export to focus the list. Clicking a row opens the order in a side panel without leaving the list.

Kanban groups orders by stage by default. A supported custom property can be used as the grouping field instead. Admins choose which fields appear on Kanban cards. A **Stale** badge marks orders that have stayed in their stage longer than the stage-health rule allows.

## Order record

The order record has two tabs:

- **Summary**: data highlights (total, subtotal, discount, refund), order details, shipping and billing addresses, attribution, and notes.
- **Line Items**: each product with quantity, unit price, discount, tax, and amount.

The left sidebar shows **About this order** (payment status, payment method, fulfillment, order status, source store), the pipeline and stage, customer details, dates, and tags. The right side shows the related Invoices, Contacts, Accounts, and Associated cart. You can add Contact and Account associations and choose which one is primary.

When the order earned or used loyalty points, a **Loyalty** card shows the points earned, spent, taken back, or given back.

Synced orders show **Open order** in the header, which opens the order in its source system.

## Create an invoice from an order

When an order has line items but no invoice yet, the Invoices card shows **Create invoice**. Workstation carries the customer and line items into the invoice, where you confirm dates, terms, tax, and totals. See [Invoices](https://workstation.repzo.com/docs/commerce/invoices).

## Loyalty points from orders

Orders can earn points or cashback for the customer, including orders synced from other systems. In **Client Loyalty → Settings**, turn on **Orders earn rewards** and choose when an order earns: when it is paid, when it is fulfilled or delivered, or when it reaches chosen stages. If an order is cancelled or refunded, the points come back off the customer's balance. See [Client Loyalty](https://workstation.repzo.com/docs/operations/client-loyalty).

## Synced orders

Connections from [Marketplace](https://workstation.repzo.com/docs/configuration/marketplace) may supply source-specific statuses, external identifiers, cart and checkout IDs, and attribution data. Check the connection's mapping and last sync when a source order does not match the Workstation record.
