# Reports

> Build, save, share, and export reports across CRM, operations, and commerce data.

Reports turn your records into numbers, charts, and tables. Pick what to count (metrics), how to group it (dimensions), and how to show it, then save the result so you and your team can come back to it.

Open **Analytics → Reports** to see the report library. Click **New report** to build one from scratch.

## The report library

The library lists every report you can open:

- **Workstation** reports, a ready-made set covering revenue, pipeline, contacts, accounts, activities, team performance, tickets, projects, appointments, requests, and website traffic.
- Reports you created.
- Reports colleagues shared with you.
- Reports saved from a module's **Reports** tab, such as Invoices and Payments (see [Module reports](#module-reports)).

The list shows each report's name, category, when you last viewed it, and who created it. Search by name, or filter by **Category** and **Created by**. Pin a report to keep it at the top of your list; pins are personal.

## Build a report

A new report opens the report builder. Its right-hand panel has two tabs: **Freeform**, where you pick fields, and **Query**, where you write the report as a short query (see [Report queries](https://workstation.repzo.com/docs/analytics/report-queries)). Switching tabs keeps the report: the builder turns into a query and back.

The **Freeform** tab has four parts:

| Part | What it does |
|---|---|
| **Metrics** | What to measure, such as Deals, Revenue (Won Deals), Average Deal Value, or Completed Activities |
| **Dimensions** | How to group the numbers, such as stage, owner, source, or created date |
| **Visualization** | How to show the result. A recommended option is suggested based on your data. |
| **Filters** | Which records to include |

Start by adding a metric. Metrics and dimensions are grouped by object: Deals, Accounts, Contacts, Activities, Price Offers, Invoices, Tickets, Projects, Milestones, Jobs, Appointments, Requests, Orders, Carts, Line Items, Products, Product Variants, Subscriptions, Listings, Campaigns, Articles, Forms, Suppliers, Inbox Conversations, Inbox Messages, Agent Runs, Goals, and Widget Analytics.

Every object's data visibility applies. Reports on orders, carts, line items, products, product variants, suppliers, subscriptions, listings, campaigns, articles, forms, and goals also need that object's view permission and a plan that includes its module; see [Objects](https://workstation.repzo.com/docs/analytics/repzoql/objects).

Custom properties from [Properties](https://workstation.repzo.com/docs/administration/properties) show up as dimensions and filters next to the native fields. Some dimensions come from a related record, for example a deal's account name.

Filters in the builder apply to the report's main object, which is the object of the first metric. To filter or group by a related record, such as a deal's account industry or a contact's lead source, write it as a [query](https://workstation.repzo.com/docs/analytics/report-queries#related-records), or filter by a [segment](https://workstation.repzo.com/docs/marketing/segments).

### Ask Fox

Instead of picking fields by hand, describe the report in the box above the chart. For example: "top 5 won deals by owner this quarter". Once a report is open, use the same box to refine it, such as "group by month" or "only deals over $10k". Fox writes a [report query](https://workstation.repzo.com/docs/analytics/report-queries), and shows it above the chart, so you can see exactly what it built and change it.

### Visualizations

| Type | Best for |
|---|---|
| **Display metric** | One number, with its change against a comparison period |
| **Gauge** | One number against a target, either a fixed number or another metric |
| **Line** and **Area chart** | Trends over time |
| **Vertical** and **horizontal bars** | Comparing groups, in simple, stacked, or grouped form |
| **Donut** and **Pie chart** | Share of a total |
| **Funnel** | Movement through stages |
| **Bar and line** | One metric as bars and another as a line |
| **Breakdown bar**, **Treemap** | Share of a total |
| **Waterfall** | How each period adds up to the total |
| **Heatmap**, **Calendar heatmap** | Patterns across two groupings, or across days |
| **Scatter plot**, **Bubble chart**, **Radar** | Several numbers per group |
| **Histogram** | How values are spread |
| **Display table**, **List by metric**, **List by dimension** | Exact values |

Cohort grids and retention curves come from [cohort queries](https://workstation.repzo.com/docs/analytics/repzoql/cohort).

For charts over time, **Running total** adds each period to the ones before it. Charts also show a data table below them; with a comparison, each value shows the comparison value and the change under it. Use **Items shown** to limit how many groups the chart draws; the table still shows every row.

### Date range, comparison, and currency

The toolbar above the chart controls the time period:

- **Date range**: a preset or custom range. For objects with more than one date, choose which date the range uses, for example a deal's create date, close date, or won date.
- **Comparison**: the previous period, the previous year, the previous year matched by day of week, or a custom range.
- **Currency**: the currency used for money values.

When you group by a date, choose the grouping: day, week, month, quarter, or year.

## Save and share

Click **Save** and give the report a name, an optional description, and a category. After you change a saved report, the toolbar shows **Unsaved**; click **Save** to keep the changes, **Discard** to undo them, or **Save as new** to keep the original.

Workstation reports and reports shared with you can't be changed directly. Use **Save as new** to make your own copy.

Click **Share** on a report you own to choose who can open it:

| Access | Who can open it |
|---|---|
| **Only me** | Just you |
| **Selected users** | The people you pick |
| **Everyone in the organization** | All members with Reports access |

Only you can edit the original. People you share with still need Reports access, and they only see records their own [data visibility](https://workstation.repzo.com/docs/administration/departments) allows. Use **Copy link** to send a direct link.

## Use a report elsewhere

- **Add to dashboard** adds the report to your [Dashboard](https://workstation.repzo.com/docs/analytics/dashboard) as a **Chart**, a **Table**, or **Chart + Table**.
- **Export** downloads the result as **CSV** or **XLSX (Excel)**.

A report returns up to 1,000 rows. Narrow the date range or add filters if you need more detail.

## Module reports

Some modules have their own **Reports** tab next to **Records** in the module header. Today these are [Invoices](https://workstation.repzo.com/docs/commerce/invoices) and [Payments](https://workstation.repzo.com/docs/commerce/payments). A module report uses the same filters and columns as the module's list, so its totals match what you see there.

On a module's Reports tab you can:

- Start from a template, such as **Invoice overview**, **By account**, **Outstanding invoices**, **Payment overview**, or **By payment method**.
- Filter, choose columns, and **Group by** a field to get one summary row per group.
- Show **Summary cards** and a **Chart**. Pick the chart measure and what to group it by. Date charts can show days, weeks, or months.
- Click a bar or a group to see the records behind it.
- **Export** the records or the summary.
- **Save report** to add it to the report library. Opening it from the library takes you back to the module's Reports tab.

From the Invoices list you can also click **Create report from view** to turn your current filters into a report.

Module reports need both the module's view permission and Reports access.

## Other reports

- [KPI Reports](https://workstation.repzo.com/docs/performance/kpi-reports) track goal and KPI performance.
- [Accounting reports](https://workstation.repzo.com/docs/commerce/accounting/reports) cover the ledger, trial balance, and financial statements. Accounting data is not part of this module.
- [Point of Sale](https://workstation.repzo.com/docs/pos) has its own sales reports.

## Permissions

Reports need `reports.view`. Report data always follows each person's [data visibility](https://workstation.repzo.com/docs/administration/departments), so two people opening the same report may see different totals.
